The Morning Coffee Dilemma

This week taught me more than just a productivity lesson – it taught me a life lesson about staying open to change.

I've always struggled with change, especially when it messes with my routines. Even small shifts make me feel out of place, like something's missing. It usually leaves me stressed or a little agitated.

Take vacations, for example. Besides getting homesick after 3-4 days (I know, I'm weird), I can never fully relax because I'm thinking about the comfort of my home routines.

This week was similar. My mom visited for a week – she lives in Italy and only comes to Romania once a year, so it was precious time together.

Here's the thing: we're both morning people who wake up early. If you've been here a while, you know I'm not complicated in terms of my routines, but I do have my sacred morning routine – 30 minutes of reading while enjoying my coffee before starting the day.

But with mom here, also up early, I realized it would be nice to skip my reading and share my morning coffee with her instead.

I'm not going to lie – I had a huge internal battle about this. Part of me just wanted to find a quiet corner to read and drink my coffee alone. For a moment, it felt like the only way I could properly wake up and energize for the day.

But obviously, that would've been a little extreme. So even though the first few days felt completely off, I gave up my morning reading for quality time with my mom.

And you know what? It was amazing.

This is the kind of moment I probably won't get again – not like this at least, especially now that I'm preparing to become a mom in a few months.

My takeaway from this week: staying flexible with my routines is actually crucial for my productivity and energy. Instead of letting change drain me or getting stuck fighting it, I need to learn how to use it in my favor.

Sometimes the best productivity hack is just... rolling with it.


From Idea to Action

Here's something that might surprise you: the very routines we create to boost our productivity can sometimes work against us.

When we become too rigid about our daily patterns, we're essentially training our brains to expect the same input every single day. And when that input changes (even slightly) our entire system goes into mild stress mode.

Think about it like this: imagine your brain as a well-oiled machine that's been programmed to expect coffee at 7 AM, reading at 7:30, and work at 8. When mom visits and coffee happens at 8 AM instead, your brain basically goes, "Wait, this isn't the script!"

The result? You spend mental energy fighting the change instead of adapting to it. That's energy you could be using for actual productivity.

The Science Behind Flexibility

Research in psychological flexibility shows something fascinating: wellbeing and productivity outcomes are influenced both by individual differences and work environment characteristics, but the people who thrive are those who can adapt their responses to changing circumstances.

When individuals are better able to shift their thinking from situation to situation they will focus less on stressors within these situations, according to cognitive flexibility research.

A study on sustaining daily routines found that regulatory flexibility of sustaining daily routines was related to mental health at different levels of financial strain – basically, the people who could bend without breaking their routines had better mental health outcomes when life got challenging.

Translation? Flexibility isn't just nice to have – it's a productivity superpower.

Why Flexibility Matters More Than Ever

When you're building something alongside your 9-5, unpredictability is guaranteed. Your boss gives you an urgent project. Your partner gets sick. Life happens.

If your productivity system is too rigid, these disruptions don't just mess up one day – they can derail you for weeks because you don't know how to adapt.

But when you build flexibility into your approach, disruptions become just... Tuesday. You adjust, you adapt, you keep moving forward.

4 Simple Ways to Stay Flexible (Without Losing Structure)

1. The 80% Rule - Keep 80% of your routine consistent, let 20% be flexible. So if your morning usually includes reading, coffee, and planning, maybe the order can change, but the elements stay.

2. Create "Flex Anchors" - Instead of "I read at 7:30 AM," try "I read for 30 minutes sometime before work." Same outcome, more breathing room.

3. Build in Buffer Time - Add 10-15 minutes of wiggle room to your key activities. This way, small disruptions don't cascade into bigger ones.

4. Have a "Plan B" Mindset - For your most important daily activities, always have a backup option. Can't read for 30 minutes? How about 10 minutes of a productivity podcast during your commute?

This Week's Experiment: The Flexibility Test

Here's a simple experiment to try this week:

Day 1-2: Notice one routine that you're particularly rigid about. Maybe it's when you check emails, when you exercise, or your evening wind-down ritual.

Day 3-4: Intentionally change ONE small element of that routine. Different time, different location, different approach – just one variable.

Day 5-7: Pay attention to how you feel. Did the change stress you out? Did you adapt faster than expected? Did you discover an even better way to do things?

The goal is not to abandon your routines, but to prove to yourself that you can adapt without falling apart.

Because here's the thing: the most productive people aren't the ones with perfect routines. They're the ones who can maintain their productivity even when their routines get disrupted.

And when you're juggling a 9-5 with bigger dreams, that flexibility might just be the difference between giving up and breaking through.
